Gather the Keeners. Retreat Terms and Conditions Document 2025

  1. Retreat Overview
    The Gather the Keeners Retreat 2025 takes place on the Isle of Eigg, Inner Hebrides, Scotland. The retreat explores grief, loss, and healing through the ancient practice of keening, art, story, and ritual. Activities include keening circles, trance dance, walks, doll-making, collage, and storytelling. The retreat also offers time for personal reflection and group sessions.

  2. Cancellations, Transfer and Refund Policy

    • Deposits are non-refundable.

    • Cancellations before 7th June 2025: If full payment has been made, and a participant wishes to cancel a refund will be made minus the deposit. If a replacement booking is secured, the deposit will be refunded minus a £99 admin fee.

    • Transfer policy: If a participant wishes to transfer their paid in full retreat place to a friend or acquaintance, this is permitted provided the transfer is made before 28th June 2025. An admin fee of £99 admin fee will be charged for the transfer, which will made by the original participant.

      The individual taking over the place must meet all retreat requirements and agree to the same terms and conditions as the original participant. The transfer request must be submitted in writing and approved by the retreat organizer before the new participant is confirmed.

      Please note that transfers are not possible after 28th June 2025.

3. Insurance and Travel Requirements

    • Insurance: Participants are strongly advised to purchase suitable insurance, including medical coverage and any other contingencies.

    • Travel Documents: It is the participant's responsibility to ensure they have the appropriate travel documents, such as an ETA (Electronic Travel Authorization), if applicable.

 

4. Health and Fitness Requirements

    • By signing the Retreat Agreement Document participants confirm they are physically and mentally able to engage in retreat activities.

    • Participants must disclose any relevant health or mental health conditions that may affect participation, and bring an adequate supply of any necessary medications.

    • A basic level of fitness is required, with the ability to walk 3-5 miles. Frequent breaks are taken on walks, and a taxi service is available (if available).

5. Responsible Conduct and Self-Care

    • Participants are encouraged to prioritize self-care and take time out from activities as needed.

    • Participants should conduct themselves in a responsible manner at all times.

    • The retreat organiser reserves the right to withdraw access to the retreat if a participant causes offence, distress, or alarm to others.

    • If asked to leave, no refund will be provided.

6.     Drug and Alcohol Policy

  • Participants are asked to refrain from using drugs, alcohol, smoking, or vaping during the retreat.

 

7. COVID-19 Policy

    • If participants develop COVID-19 symptoms, they agree to wear a mask indoors

    • Activities may be held outdoors or in well-ventilated indoor spaces as necessary.

    • Participants with symptoms agree to limit contact with locals.

 

8. Gender Policy

  • The retreat is open to women, including trans women, and those who identify outside of the gender binary.

 

9. What is and isn’t included on the retreat

Included:

    • Seven nights’ accommodation at Glebe Barn Hostel, Isle of Eigg.

    • Meals: Dinner on arrival day, daily breakfast, lunch, and dinner, and breakfast on departure day.

    • Materials and guidance for art projects.

Not Included:

    • Travel costs to the Isle of Eigg.

    • Travel insurance (recommended).

    • Optional taxi rides on Eigg.

    • Any meals or drinks not listed.

    • Medical treatment costs.

 

10. Media and Photography Release

    • Participants will be required to make their wishes known regarding any recording of their likeness through photography and film by the retreat organiser and by other participants

      • I do not wish to be photographed or recorded.

      • I am comfortable being photographed, and my image may be used on social media, the retreat website, or other promotional materials.

11. Unforeseen Circumstances Clause
If the retreat is cancelled due to circumstances beyond the organiser's control (e.g., natural disasters, pandemics), participants will receive a full refund minus any financial transaction fees.

12. Liability Waiver

    • Participants are responsible for their health, safety, and well-being during the retreat.

    • Participants assume all risks related to retreat activities, including walking on uneven terrain and exposure to outdoor elements.

    • Jude Lally Art is not responsible for personal injury, property loss, damage, theft, accidents, or delays.

 

13. Your Information, Data Protection & Record Storage

    • Personal information is collected and stored securely for booking, communication, and safety purposes.

    • Data is protected according to the Data Protection Act 2018, UK GDPR, and EU GDPR.

    • Your information may be shared with emergency services, but will not be shared with third parties without consent.

    • Participants have the right to access, correct, or request deletion of their personal data.

14. Agreement and Signature

By signing the Retreat Agreement Document participants confirm that they have read, understood and agree to all the terms laid out in the document.
